Vacation Policies

Take a health day! Why should you only get days off when you're sick?

  • All full time employees (works 37 hours or more each week) are eligible for 15 vacation days each year. These are all available starting January 1st.

  • All part time employees (works less than 37 hours per week) are eligible for 5 vacation days each year. These are all available starting January 1st.

  1. You are responsible to make sure that your manager and your coworkers know about the vacation and that arrangements have been made to cover for you while you're away.

  2. In general, it is considered good practice to provide two days notice for each day of vacation. For example, if you're taking a two-week vacation, let us know a month in advance. For a one day vacation, two days notice is usually sufficient.

How do I request days off?
You can request time off in our online payroll system, Gusto.

How much time do I have to take off at once?
You can take half or full day increments of vacation time.

What happens to unused vacation days at the end of the year?
They are carried over. Vacation days don't expire, but if you do roll days over your total vacation bank will be capped at 30 days (240 hours max allowed in the bank at any given time).

What happens to unused vacation days if I leave the organization?
There is no payout for unused vacation days if you leave the organization.

Sick Leave

Full time and part time employees are allowed 5 sick days each calendar year.

You can take sick time in as little as one-hour increments.

Simply email your manager when you need to take sick leave or family medical leave (cc: your coworkers who might need to know to cover your work).

Special Note:

Employees who are contagious, coughing, or sneezing are not permitted to come in to the office. Heroics that can make the rest of us sick will not be appreciated. Just take the day off or work from home if you need to!

Diaper Bank of NC does not offer FMLA. If a situation arises where you need an extended period of time off, talk to your supervisor to see what we can do.

Company Holidays

All employees are eligible for the following paid company holidays on their first day of employment:

  • New Year's Day

  • Memorial Day (Last Monday in May)

  • July 4

  • Labor Day (First Monday in September)

  • Thanksgiving (Fourth Thursday in November)

  • 2 Floating Holidays (Want to take your birthday off? Have a religious holiday you like to celebrate? Think Taco Tuesday should be a national holiday? These are for you!)

DBNC is closed and gives paid holiday time to all employees Christmas Day through New Year's Eve. Employees ARE permitted to work remotely or on-site at the office if they wish during this break. However, we STRONGLY encourage you to take this time to rest, unplug, and recharge.

When a holiday falls on Saturday, we take off Friday. When a holiday falls on Sunday, we take off Monday.

Reasonable Work Schedule

We believe that the way to be most productive is with a reasonable, balanced work schedule. Working long hours for long periods of time results in mental exhaustion and shoddy work that needs to be fixed later. We also don't believe in waiting periods for taking time off. Are you a new employee and your kid is sick and needs to stay home from school? We get it. Work with your manager to WFH or take sick or vacation time if you need to--we don't care if this is on day 5 or day 500. We understand that things out of your control happen.

Different people have different ways of being productive. Some people get more done in the morning and prefer to come in early. Maybe you get a lot done in the wee hours of the night, but you have trouble getting in to work before lunch. Either way, as long as you're getting your work done, attending meetings you're supposed to, and in the office when you're supposed to be, employees should work with their supervisor to design a schedule around their own balance of work and life. It should be sustainable and reasonable. When we have a crunch period, usually around distribution dates, events, or major donation campaigns, you should be well-rested and caught up on your errands, so if you need to work longer days than usual for a week or two, you won't be exhausted.

Make regular time for your family and friends throughout the year so that crunch periods don't become a habit, and work doesn't become a death march. Feel free to rearrange your weekly schedule, for example, working slightly longer on Monday through Thursday and taking Friday afternoons off during the summer. Bring your family and friends to join us for lunch.

We prefer to have everyone work half days on Fridays. We do have core hours that are different for each branch and need to be staffed during those times. Other than that, you can work with your supervisor to design your own schedule.

If you need to stay home for the cable guy, or run to the dentist or doctor, or pick your kid up from daycare because your partner cannot do it that day, just talk to your supervisor. This is usually never a problem. Given that we have flex time, you are expected to make this time up at some point. We won't track it, but you should.

Punctuality
If you're supposed to be in the office, please show up when you're supposed to. As a small team we all have unique and distinct roles, and especially when we're in the office. It disrupts everyone's day when someone isn't in on time to fulfill their roll. We understand things come up, but honoring our team and guests by being on time for is super important to us. Please let your supervisor know as soon as you can if you will be in late or not able to make a meeting.

What if I need to take a whole day off but I make it up in time some other day or collectively through the week? Is that a vacation day?

We don't track time for salaried employees, but we generally expect employees to put in an average of 37-50 hours per week, which is inclusive of an hour or so per day for lunch. When we have events or have other deadlines, we may all need to push past 50 to get things done, but we want to stay staffed to where the average time needed should mostly stay in that range.

If you are an hourly employee, you should work with your supervisor to make sure that your schedule best fits with the overall requirements of your position, and the needs of the staff overall.

Parental Leave

Parental Leave (for primary caregiver)
All caregivers, including adoptive and foster parents, with one year of service may receive 12 weeks off at 100% pay. Additional time needed is unpaid, up to 6 additional weeks.

Eligible employees must meet the following criteria:
--Have been employed with the company for at least 12 months (the 12 months do not need to be consecutive).
--Have worked an average of 20 hours a week during the 12 consecutive months immediately preceding the date the leave would begin.
--Be a full- or part-time, regular employee (temporary employees and interns are not eligible for this benefit).

If the employment length does not meet the criteria above, an employee may still meet eligibility for 6 weeks of paid leave and up to 6 weeks of unpaid leave if an agreement is signed committing to completing one full year of employment with Diaper Bank of North Carolina If one full year of employment is not completed, per the agreement, any paid leave must be repaid to Diaper Bank of North Carolina in full within 6 months of the last day of employment.

In addition, employees must meet one of the following criteria:
--Have given birth to a child.
--Be a spouse or committed partner of someone who has given birth to a child.
--Be the intended parent to a child born via gestational carrier; or
--Have adopted a child, been placed with a foster child, or be a person standing "in loco parentis" (in all cases, the child must be age 18 or younger). The adoption of a new spouse's child is excluded from this policy.
